Welcome to flowit! flowit is your organisation's platform for development, feedback, and collaboration. Depending on your organisation's configuration, you may start with a first process right away β for example a survey or an employee appraisal. This guide shows you how to find your way around flowit and what to expect.
π‘ Welcome β here's what you can expect
flowit helps you actively shape your own development, give and receive feedback, and prepare and follow up on conversations with your manager in a structured way. You don't need to set up or configure anything β your admin takes care of that. Your role is to use the platform and actively participate.

Which modules are available to you depends on which features your organisation has activated. If you cannot see something or have a question, contact your manager or admin.
π€ Step 1: Set up your profile
Before you get started, it's worth completing your profile fully. It only takes a few minutes and ensures flowit works optimally for you. Click on your profile picture in the top right corner to get started.
Setting up your profile:
Set your language and native language β this is especially important so you can fill in forms in your own language and feedback is automatically translated
Check your personal details and make sure everything is correct and up to date
If needed, you can set a new password in your profile settings
Make sure a valid email address is stored β this is required to receive email notifications
Click Save at the end to apply your changes
π‘ Your native language is particularly important: flowit automatically translates forms and feedback into your native language β so you can express yourself in your own language, even if the platform is set to a different language.

Tab: Teams Under the Teams tab in your profile, you can see which teams you are a member of. You can see who your team lead is and who else belongs to the team. This gives you a clear overview of your team membership at any time.

Tab: Notes Under the Notes tab you can record personal notes for yourself.
These are only visible to you β nobody else has access to them. You can use this to note down talking points for your next employee appraisal or things you want to discuss with your manager.

π Step 2: Understand the home screen & the activity board
The home screen is your central starting point in flowit. Here you can see at a glance what is currently relevant for you β you don't need to actively search, the most important information comes to you.
Open tasks β forms or evaluations that still need to be completed. These appear directly on the home screen so you don't miss them
Ongoing processes β active surveys, reviews, or evaluations you are involved in
Quick access β direct links to the most important modules in your organisation
π‘ What appears on your home screen depends on which modules your organisation has activated. Not all tiles are the same for every organisation.

The Activity Board can be found in the top right corner next to your profile picture β recognisable by the bell icon. Here you can see all system notifications in real time: new tasks, incoming feedback, completed processes, and much more. The Activity Board gives you a quick overview of everything happening right now β you can immediately see if something new is waiting for you, without having to navigate through the platform.

π‘ In addition to the Activity Board, you will also receive important notifications by email β provided a valid email address is stored in your profile. This way you won't miss anything, even when you're not actively logged into flowit.

π Step 3: Your first process in flowit
In most organisations, flowit starts with a concrete process. This could be a survey β for example a pulse survey on the current mood in the team β or a review process such as the annual employee appraisal (MAG). In this case you will receive an invitation by email with a direct link to the form. You can also access the process at any time directly in flowit under the relevant module.

If you receive a survey: You can find surveys under Surveys > My Surveys. There you will see all active surveys that still need to be completed. Click on the survey, answer the questions, and submit at the end.

Whether a survey is anonymous or not is shown directly when you open it β a banner appears at the very top indicating whether your answers will be recorded anonymously or not. For anonymous surveys, results are only shown in aggregate and never traced back to individual people, provided the anonymity threshold of at least 5 responses has been reached.

π‘ There are no right or wrong answers. Your honest feedback is the most valuable β it helps your organisation improve.

If you receive a review: You can find reviews under Reviews > My Reviews. There you will see all forms that still need to be completed. Open the form, fill it in at your own pace β you can save it as a draft at any time and continue later, as long as you have not yet submitted finally. When you are done, submit it finally.

Once you have submitted your part, the review disappears from your to-dos and can be found under All Reviews. Only once your manager has also submitted will the results become visible to both sides β and you can discuss them together in a personal conversation. π‘ You can fill in forms in your native language β flowit translates automatically if you have set your native language in your profile. This way you can express yourself in your own language.

π₯ Step 4: Getting to know the other modules
Evaluations (if activated in your organisation) Evaluations are regular competency assessments between you and your manager. You provide your self-assessment on your development cards β your manager provides their assessment from an external perspective. The results are compared side by side so you can discuss your development together.

Evaluations run in regular periods β the rhythm is set by your organisation. You will receive a notification when a new evaluation is ready for you.

π‘ Development cards are competency areas that are assigned to you or that you assign to yourself β for example "Communication" or "Accountability". They show what you are working on and form the basis for every evaluation.

Feedback (if activated in your organisation) You can give or request feedback at any time β to anyone in the organisation, regardless of team or hierarchy. Feedback is only visible to the sender and recipient β nobody else can see it. The feedback module is your tool for situational responses in everyday work: quick, straightforward, and without administrative effort.

Goals & OKRs (if activated in your organisation) Here you can see your own goals as well as β depending on the transparency level β the goals of your team. OKRs (Objectives & Key Results) are a goal-setting framework built on SMART goals: goals are specific, measurable, achievable, relevant, and time-bound.

OKRs focus on performance goals β concrete results you want to achieve, for example "Increase customer satisfaction by 10%" or "Document the onboarding process by end of quarter". They are deliberately different from competency goals, which focus more on personal development and skills β that is the domain of development cards and evaluations.
An OKR always consists of two parts:
Objective β an inspiring, qualitative goal: Where do we want to go?
Key Results β measurable outcomes that show whether the goal has been achieved: How will we know when we've arrived?
You can always see how far along you are with your goals and update your progress at any time.
