🧭 Onboarding Guide – Team Lead: Getting Started & Platform Overview

Welcome to flowit! As a team lead, depending on your organisation's configuration, you may be greeted with initial tasks right away β€” or you may start without any open to-dos. This guide is your starting point: it shows you where to find what and how to keep an overview of your team.

πŸ‘€ What does "Team Lead" mean in flowit? In flowit, you are a team lead as soon as you have been assigned the "Team Leader" role in a team. This role is not tied to a specific job title β€” it includes all management functions: team leader, department head, manager, group leader, and more. The only thing that matters is the role assignment in flowit, which is carried out by your admin.

Which modules are available to you depends on which features your organisation has activated. If you cannot see a module or don't have access, contact your admin.


πŸ‘€ Step 1: Set up your profile & get an overview

Before you get started, it's worth completing your profile fully. Click on your profile picture in the top right corner to get started.

Setting up your profile:

  • Set your language and native language β€” this influences the translation feature and AI analyses

  • Check your personal details and make sure everything is correct and up to date

  • If needed, you can set a new password in your profile settings

  • Make sure a valid email address is stored β€” this is required to receive email notifications

  • Click Save at the end to apply your changes

πŸ’‘ The more complete your profile, the better flowit can show you relevant information.

Tab: Teams Under the Teams tab in your profile, you can see all the teams you are assigned to and their members. This gives you an immediate overview of who you are responsible for as a team lead.

If you manage multiple teams β€” for example as a department head with hierarchically subordinate teams β€” you will also see those subordinate teams here. However, you do not have access to the individual profiles of employees in those teams. Clicking on a subordinate team simply shows you the team and its members.
​

Tab: Notes Under the Notes tab you can record personal notes and link individual people to them. These notes are only visible to you β€” the linked people have no access to them whatsoever. The notes feature is ideal for capturing observations, talking points, or development reminders that you can pull up at the end of the year or when preparing for an employee conversation.

🏠 Step 2: Understand the home screen & the activity board

The home screen is your central starting point in flowit. Here you can see at a glance what is currently happening in your team.

  • Open tasks β€” reviews or evaluations that are still pending

  • Ongoing processes β€” active surveys, reviews, and evaluations in your team

  • Quick access β€” direct links to the most important modules

πŸ’‘ What appears on your home screen depends on which modules your organisation has activated.

The Activity Board can be found in the top right corner next to your profile picture β€” recognisable by the bell icon. Here you can see all system notifications in real time: new tasks, status changes, completed reviews, incoming feedback, and much more. The Activity Board gives you a quick overview of everything that is happening β€” without having to actively navigate through the platform.

πŸ’‘ In addition to the Activity Board, you will also receive important notifications by email β€” provided a valid email address is stored in your profile.

πŸ‘₯ Step 3: Other modules at a glance

Evaluations (if activated in your organisation) Evaluation pairs in your team are configured by the admin. As a team lead, you have two roles in evaluations: as an evaluator, you assess the competency cards of your employees from an external perspective. At the same time, you are also an evaluee yourself β€” for your own competency cards, you provide your self-assessment, which is then compared with your evaluator's external perception.

What do you see as a team lead in evaluations?

  • Your own submitted assessments of your employees' competency cards

  • Your employees' self-assessments β€” compared side by side with your external perception

  • The current status of the ongoing evaluation β€” who has already submitted, who hasn't yet

  • Past evaluation results under Evaluations > Past β€” so you can track development across multiple periods

πŸ’‘ Development cards are competency areas assigned to an employee β€” for example "Communication" or "Accountability". They form the basis for every evaluation.

Feedback (if activated in your organisation) You can give or request feedback at any time β€” to anyone in the organisation, regardless of team or hierarchy. The feedback module is your tool for situational responses in everyday work β€” straightforward and without administrative effort.

What do you see as a team lead in the feedback module?

  • Received feedback β€” all responses you have personally received

  • Sent feedback β€” all feedback you have given yourself

  • Requested feedback β€” feedback you have requested from others and its current status

You can only see feedback in which you yourself are the sender or recipient. Feedback between other people is not visible to you β€” even as a team lead. There are two exceptions: if you have been explicitly added as an additional recipient to a feedback, or if a feedback has been given on an employee's active competency card β€” in that case you also have viewing rights as the evaluator.

Goals & OKRs (if activated in your organisation) Here you can see the goals of your team. Depending on the transparency level, you can view all team goals or only your own and those of your direct reports.
​

The Messenger is located in the bottom-right corner of the platform once you have logged in to FLOWIT. Please note that the Messenger is not enabled by default for all customers. The availability of this feature depends on the subscription package purchased.
