🌟 Understanding Evaluations in flowit: Concept & Fundamentals

🔍 What is an evaluation?

An evaluation is a regular competency assessment process between two people — the evaluator (who assesses) and the evaluee (who is assessed). Both complete a questionnaire and self-perception is compared with external perception.

Evaluations focus on competency cards — specific competency areas such as "Communication" or "Accountability" — and run in defined periods set by the admin at company or team level.

💡 Evaluations are only created when active development cards exist for an evaluation pair. Without active cards, no evaluation is created.



🃏 How are evaluations created?

An evaluation is automatically created when:

  • On the start day of the period an active card exists for the evaluation pair, or

  • During the ongoing period a card is selected — even on the last day of the period

Cards are always linked to the evaluation pair. If the pair is dissolved, the card is archived. It cannot be transferred to a new pair — it must be selected again for the new pair. If a new evaluation pair is formed within an open period, selecting a card immediately creates a new evaluation for the current period.



🔄 Self-perception vs. external perception

Every evaluation has two perspectives:

  • Self-perception — the evaluee assesses their own competencies

  • External perception — the evaluator assesses the evaluee's competencies

Both assessments are compared once both parties have submitted — creating a complete picture of competency development. As a team lead, you are simultaneously an evaluator for your employees and an evaluee for your own competency cards.



💾 Automatic saving

When filling in an evaluation, you do not need to worry about losing your entries. flowit saves all inputs automatically — there is no manual save button. As soon as you have made an entry and navigate away from the field or the evaluation, your inputs are retained. When you return, you will find everything exactly as you left it.

💡 You can pause an evaluation at any time and continue later — nothing will be lost.



💤 Skipping an evaluation — logic & impact

If you or the other person is unavailable, an evaluation can be skipped. Depending on who skips, the effects differ:

Skipped evaluations appear in the Past tab and are marked as "skipped" — so the full history remains traceable.



🔄 What happens when someone leaves the team or an evaluation pair is dissolved?

If a person leaves the team — manually, via CSV, or through an interface — the following happens automatically:

  • The evaluation pair is deleted

  • Active cards for this evaluation pair are archived

  • Existing, active evaluations remain active

Still active but expired evaluations may still be present or may have already been deleted, depending on the administrative clean-up process. This depends on how the admin dissolved the evaluation pair.
