📊 Understanding the AI Dashboard: Structure, Features & Use Cases

The AI Dashboard provides in-depth insights into survey and review data through modern AI analyses. This article explains the structure, key features, and how they support your decision-making processes.

🔍 How do I get to the AI Dashboard?

For surveys:

  1. Navigate to Surveys in the menu bar

  2. Open the All Surveys tab

  3. Select the Completed sub-tab

  4. Click "Show results" on the relevant survey

💡 The AI Dashboard for surveys is automatically generated once the survey period has expired. Admins can determine when the results are released to team leads.

For reviews:

  1. Navigate to Reviews in the menu bar

  2. Open the Insights tab

  3. Select the Reports sub-tab

  4. Select the desired review cycle from the dropdown menu

  5. Click "Submit" to load the dashboard

ℹ️ The AI Dashboard for reviews is not generated automatically. Once a review cycle has been completed, please contact your flowit Customer Success representative — they will discuss the next steps with you and coordinate the creation of the dashboard.

🗂️ Structure & filter options

The dashboard is divided into three main pages, each of which can be filtered by organisational unit — e.g. by team or department.

📝 The AI Dashboard is always displayed on an anonymised basis — regardless of whether the survey was anonymous or not. Teams are only displayed when the following minimum number of responses has been reached:

  • Surveys: at least 5 responses per team

  • Reviews: at least 3 responses per team

If the minimum is not reached, the data is aggregated at the next higher organisational level — ensuring no conclusions can be drawn about individual people.

Additional filter options:

  • Profile attributes — if available (e.g. age, gender, tenure), these can be used as filters — however only for quantitative data

  • Group comparison — different teams or groups can be compared with each other

  • Excel export — the AI Dashboard can be exported as an Excel file

📈 Page 1: Overview & AI Analysis

The first page contains a summary of the survey or review results with in-depth AI analysis:

Basic information
Title of the survey or review and the response rate.

Sentiment analysis 🧠
Uses AI to detect the emotional tone of text responses and shows the ratio of positive, neutral, and negative responses to each other.

Most mentioned topics (topic clusters)
Groups text responses into topic clusters and shows the most frequently mentioned topics along with sentiment analysis. Open-ended feedback is grouped into themes rather than shown individually — this additionally protects anonymity.

Response distribution
Each question is analysed individually:

  • Open text questions are summarised in writing

  • Scale questions are displayed in colour — the red area corresponds to low agreement (1), the dark green area to high agreement (5). The exact response distribution is shown. Clicking the arrow expands the associated filter questions.

Correlation analysis
Shows the three strongest correlations between scale questions — including an explanation of what the correlation means and how it is statistically composed. Correlations can be both positive and negative in nature.

💡 A correlation analysis requires at least 10 responses to a scale question.

🚦 Page 2: Pain Points & Measures

From insight to action:

  • Pain points ⚠️ — The most important problem areas sorted by urgency (high, medium, low)

  • Recommended measures — Concrete suggestions for resolution, divided into short-, medium-, and long-term measures

  • Suggested follow-up questions — New questions for upcoming surveys or reviews to address the most relevant topics

⚠️ Note: The pain points, measures, and follow-up questions are AI-generated. They provide an initial overview and orientation — but require further analysis and assessment by managers and HR.

🧾 Page 3: Management Summary

A compact overview for managers — this page can also be viewed individually for each team. The structure is as follows:

  1. Introduction

  2. Performance overview

  3. Key topics

  4. Employee mood and wellbeing

  5. Quick wins

  6. Other

  7. Conclusion

⚠️ Note: The management summary is also AI-generated and represents a condensed version of the most important points. The AI Dashboard displays corresponding notices when content is fully AI-generated.
