👥 Additional Reviewers in flowit: Role, Rights & Features

This article explains what an additional reviewer is, which settings are available, and what they can do in a review.

🔍 What is an additional reviewer?

An additional reviewer is a person who is involved in a review process alongside the main reviewer and the employee. This could be, for example, another manager, a mentor, or an HR person. Additional reviewers can be added when creating a review — or retrospectively to an already ongoing review.

⚙️ Settings for additional reviewers

The following settings can be configured for each additional reviewer when creating a review:

Required or optional

  • Additional reviewer (required) — the additional reviewer must fill in the questionnaire.

  • Additional reviewer (optional) — their participation is voluntary.

⚠️ Important — applies to both variants:
Regardless of whether the additional reviewer is defined as required or optional, the results are not automatically visible to the main parties once they have submitted — as long as the additional reviewer has not yet submitted.

The main reviewer must actively intervene — only the main reviewer can perform this action, not an admin or any other person: they click "Mark as filled in". This automatically triggers the following:

  • The review is marked as filled in and the results become visible to the main parties

  • The additional reviewer is automatically excluded — the review disappears for them and they can no longer fill in the questionnaire

This option is only available once both the main reviewer and the employee have already submitted their questionnaire.

Viewing rights for results & conclusions

  • With viewing rights — the additional reviewer can view the results and conclusions once all required parties have submitted, and can add their own notes under conclusions — without having to confirm them. Viewing rights remain in place even if the additional reviewer did not submit the questionnaire or was excluded by the main reviewer. They therefore always have access to the results and can document their conclusions — but are never required to confirm agreements or conclusions. In addition, after the review has been completed by the main parties, they can also add addendums.

  • Without viewing rights — the additional reviewer can fill in the questionnaire but has no access to the results or conclusions.

Anonymity

  • The additional reviewer can be marked as anonymous — their answers are then not personally identifiable to the other participants.

⚠️ These settings can only be configured when creating the review. Once a review has been created, these settings can no longer be changed.

✏️ What can an additional reviewer do?

Fill in the questionnaire
Like all other participants, the additional reviewer fills in the same questionnaire. The fill-in function is identical to that of the main reviewer and the employee.

View results (only with viewing rights)
Once all required parties have submitted, the additional reviewer can view the results — including the comparison of self-perception and external perception. Viewing rights remain in place even if the additional reviewer was excluded or did not fill in the questionnaire.

Document conclusions & addendums (only with viewing rights)
If the additional reviewer has viewing rights, they can record their own notes and observations under conclusions — regardless of whether they filled in the questionnaire or were excluded. After the review has been completed by the main parties, they can also add addendums. They are however never required to confirm conclusions or agreements.

➕ Adding retrospectively

An additional reviewer can also be added to an already ongoing review retrospectively. They will then receive a notification and can fill in the questionnaire — provided the fill-in period has not yet expired.
