The Group Manager is the central management interface for all review groups in flowit. Instead of creating and managing reviews individually, the Group Manager enables the efficient management of entire review cycles — at team level or for the entire organisation — with just a few clicks for all participants at once.
What are the benefits of review groups?
All reviews for a team or the entire organisation are managed centrally in one place
Changes such as deadline extensions or reviewer replacements can be made for the entire group at once
Cleaning up inactive reviews is quick and straightforward
New employees can easily be added to existing groups retrospectively
No manual individual management for large teams

📍 How do you get to the Group Manager?
Navigate to Reviews in the menu bar and click on Group Manager. There you will see all existing review groups in your organisation as tiles — with name, review period, and scope (e.g. "Marketing Team" or "Entire Organisation").
➕ How do you create a new review group?
Click "New Review Group" in the Group Manager
Select the scope — either at team level (e.g. "Marketing Team") or at organisation level (all employees in the company)
Fill in the required fields — group name, review period, and any other necessary settings. Once everything is configured, click Create at the bottom
The group is created — flowit automatically generates one individual review for each member of the selected scope
All reviews in the group also appear as usual under All Reviews and can be adjusted individually there
💡 Once a group has been created, it appears as its own tile in the Group Manager with the name, review period, and scope at a glance.
🛠️ What can you do per group?
Click the three-dot icon (…) on the relevant group to see all available actions:
📋 Show all reviews in the group
Shows a complete overview of all reviews belonging to this group — including status, participants, and all the information you would normally see on individual reviews.
➕ Add new individual review
Adds a single new review directly to this group — for example when a new person needs to be added to the cycle retrospectively.
➕ Add multiple new reviews
Enables the simultaneous addition of multiple new reviews to the group — for example when a larger number of people join a team.
📎 Add existing reviews to the group
Adds already existing individual reviews to a group retrospectively — useful when reviews were created outside a group and now need to be managed centrally.
🔁 Replace main reviewer
Replaces the main reviewer for all or selected reviews in the group simultaneously — practical for management changes or extended absences.
⚠️ A replacement is only possible while the review has the status "To fill in".
📅 Adjust dates and schedule
Adjusts the fill-in period or completion deadline for all or selected reviews in the group simultaneously — for example when extending a deadline.
✏️ Rename or edit review period
Changes the name of the group or the review period — for example when the assessment period has shifted.
📦 Archive reviews
Archives all or selected reviews in the group at once. The data is retained but the reviews can no longer be actively edited.
🧹 Overview of cleanup candidates
Shows all reviews in the group that can be cleaned up — meaning reviews where the fill-in and completion period has expired and not all required parties have submitted.
The behaviour during cleanup depends on who has submitted:
Situation | What happens |
Neither party has submitted | Review is deleted |
One party has submitted | Review is archived as inactive |
Both parties have submitted | Review remains unchanged — no cleanup needed |
👁️ Show inactive reviews
Shows the number of reviews in the group that have been marked as inactive. Which reviews are specifically affected can be seen in the Overview of cleanup candidates. With one click, all cleanup candidates can be processed at once — without having to go through each review individually.
🗑️ Delete reviews
Permanently deletes all or selected reviews in the group.
⚠️ Deletion is only possible as long as no entries have been made. Drafts count as entries.
