๐Ÿ“‹ Managing Survey Guides

Updated over 5 months ago

In this article, youโ€™ll learn how to efficiently create, edit, and manage survey guides within the flowit platform. These guides are a central element in structuring and standardizing feedback processes in surveys.

๐Ÿ” What Are Survey Guides?

Survey guides are templates that serve as a structured aid during the survey process. They define questions, topics, and evaluation criteria, helping ensure consistency and quality in the feedback process.

๐Ÿงญ Features at a Glance

Currently, it is not possible for customers to create survey templates independently. Please reach out to your Customer Success Manager for assistance.

As a user, you can create a survey from scratch. Hereโ€™s how it works:

  • Create a new survey and either select an existing guide to customize,
    โ€‹
    โ€‹

  • or choose the โ€œEmpty Survey Templateโ€ to build a completely new guide.
    โ€‹
    โ€‹

Once youโ€™ve created your new guide, you can immediately send it out as a survey to your employees.

๐Ÿ’ก Note: If youโ€™d like to save a newly created guide as a reusable template, please contact your Customer Success Manager. They can add the template to the system for you.

๐Ÿง  Understanding Question Types for Guide/Template Creation

1. Open-ended Questions ๐Ÿ“

What is it?

Participants provide freely written responses.

When to use?

Ideal for qualitative feedback without predefined answers.

2. Scale Questions ๐ŸŽฏ

What is it?

Users respond by selecting a value on a scale (e.g., from 1โ€“10).

When to use?

Perfect for measuring intensity, satisfaction, or agreement.

3. Filter Questions ๐Ÿ”

What is it?

Conditional follow-up questions based on previous answers.

When to use?

Use to dive deeper into specific groups or opinions โ€“ for example, after a poor rating, an open question can follow.

4. Option Fields โœ…

What is it?

Single- or multiple-choice questions.

When to use?

Ideal for structured feedback with predefined answer options.

5. Summary

Choosing the right question type helps you get the most out of your data:

  • Open for deeper insights ๐ŸŒŠ
    โ€‹
    โ€‹

  • Scale for quick comparisons ๐Ÿ“Š
    โ€‹
    โ€‹

  • Filter for targeted analysis ๐Ÿ”Ž
    โ€‹
    โ€‹

  • Options for clear decisions โœ”๏ธ

๐ŸŽš๏ธ Defining Rating Scales

This feature is available across all flowit modules. In surveys, the rating scale can be set individually for each question.

  • Click the Edit icon to modify a question as usual.
    โ€‹
    โ€‹

  • Then choose the scale on which the question should be answered.
    โ€‹
    โ€‹

When analyzing surveys โ€“ on the AI dashboards โ€“ the scales will continue to appear via mouseover, so nothing changes here.

๐Ÿ’ก Tip: We recommend using a single scale across all questions in a survey to maintain clarity and comparability.

โœ… Why Is This Useful?

  • Standardization: Ensures consistent evaluation criteria across all surveys.
    โ€‹
    โ€‹

  • Efficiency: Reusable templates save time when setting up new surveys.
    โ€‹
    โ€‹

  • Flexibility: Customizable for different teams, roles, or survey cycles.
