πŸ” Overview

When you're ready to complete a review, flowit offers a structured process to ensure both parties align on the outcomes. Note that review results are only visible to the other party once all required participants have finalized their part of the review.


πŸ“Œ How to Finalize a Review

1. Navigate to Reviews

From the main menu, click on Reviews.

2. Find Your Pending Reviews

You can locate reviews that need to be completed via:

  • The All Reviews tab β†’ then click To Finalize, or
    ​

  • The My To-Dos tab.
    ​
    ​

3. Open the Review Summary

Click on Finalize Review or Go to Review to access the summary. The review content is divided into three main sections:

  • AI Summary πŸ€–: flowit uses AI to generate a summary of the key insights.
    ​ Note: This may take up to 30 minutes after both parties have filled in their responses.
    ​
    ​

  • Responses πŸ’¬: A word-for-word collection of all responses from each participant.
    ​
    ​

  • Conclusions & Agreements 🀝: Captures key takeaways and agreements made during or after the conversation.
    ​



β€‹πŸ’¬ Adding Comments to Individual Questions

With this update, you can now add additional comments to individual questions after submitting the review questionnaire. This allows you to record further thoughts or prepare notes for the review conversation.

The comment icon πŸ—¨οΈ next to each question is new.

Clicking it takes you to a new page:

  • At the top, you'll see the question-and-answer pair the comment refers to.
    ​
    ​

  • Below, you’ll find any existing comments or a note indicating that no comment has been added yet.
    ​
    ​

  • You can easily add a new comment via the chat input. Once submitted, your comment will appear immediately.
    ​
    ​

When you return to the overview, the icon will indicate that a comment exists for that question-and-answer pair.

Important: All users with viewing rights to a particular review can also read the comments.


βž• Adding Entries

Depending on your admin settings, you can add different types of entries through the Add Entry button:

  • Conversation Note πŸ—’οΈ: Record a note under a predefined title (customizable by your admin).
    ​
    ​

  • Long-Term Development Goal 🎯: View or define a new long-term goal.
    ​ Note: A new goal becomes visible in the profile only after both parties confirm it.
    ​
    ​

  • Competency & Values Card πŸƒ: Based on an evaluation pair (typically manager & employee), a new card can be created or exchanged. Comments and individual goals can also be added.


βœ… Complete the Review

Once all Conclusions & Agreements have been entered, the final step is:

Click Confirm Entries & Mark Review as Complete.

After this step:

  • Both parties confirm the content.

  • The review is officially closed.
    ​

πŸ‘₯ Additional Reviewers

Additional reviewers never need to confirm a review, regardless of the settings selected when setting up the review.
Their role is solely for viewing and optional commenting, not for formal confirmation or approval of the review.


βž• Adding Review Addendums

Occasionally, a review may already be completed, but later on, new topics arise that need to be documented. This is where Review Addendums come into play.

You will find this option within the Conclusions & Agreements tab of a completed review. A new button allows you to create an addendum:

  • Select a type, fill out the fields, and save the entry (just like with regular entries).
    ​

  • The addendum then appears at the bottom of the section.
    ​
    ​

  • To finalize, one person requests confirmation. The other person will receive a notification and can confirm the addendum.
    ​
    ​

This ensures that important updates or new agreements can still be documented transparently, even after a review has been formally closed.


πŸ“„ PDF Export of the Review

Once a review has been fully completed, you can export it as a PDF at any time.

The PDF export is useful for:

  • storing the review in a personnel dossier
    ​
    ​

  • archiving it for documentation purposes
    ​
    ​

  • generating a complete, non-editable overview of all review content
    ​

We recommend performing the PDF export only once the review is fully finalized, so all conclusions, agreements, and confirmations are included.

Important:

  • The AI Summary is not automatically included in the PDF.

  • If you want the AI Summary to appear in the PDF, an admin must enable this under: Settings β†’ Review in the Admin area.
