Welcome to the guide on managing employee profiles in flowit! This article provides an overview of the key features, when to use them, and why theyβre helpful. These functions are available to all users with admin rights.
π Overview: Admin Area β Employees
In the section
ADMIN > EMPLOYEES
you will find a central overview of all employees.
You can:
β’ Add employees manually or import them via CSV
β’ Search existing users by first or last name
β’ Filter by status or system role
β’ Directly view:
β Team affiliation
β Roles
β Member since
β Last login
Available actions:
βοΈ Edit profiles
ποΈ Delete profiles (if required)
π€ Add New Employees Manually
This function allows you to create individual employees directly in the system.
Steps:
Click on ADMIN.

βOpen the Employees section.
β
βSelect + Create New User.
β
βComplete all required fields (marked with *):
β
β’ Email address or username
β’ Password (minimum 12 characters, including one uppercase letter, one number, and one special character)
β’ First name
β’ Last name
β

Important settings:
β’ Status: Leave set to βActiveβ.
β’ Roles: Assign only if admin or view permissions are required (see article βRoles & Permissionsβ).
β’ Set the language preference.
β’ Specify gender β this improves the quality of AI analyses.
Complete employment details:
β’ Start date
β’ End date (if known)
β’ End of probation period
These details are essential for automated review processes.

Custom profile fields:
Custom profile fields allow you to capture additional information, such as:
β’ Office day
β’ Years of service
β’ Certifications
These fields improve:
β’ The structure of employee data
β’ The quality of AI analyses through additional context
Important: Custom profile fields must first be created in the Admin area under Settings.
Principle:
The more complete the data maintenance, the more accurate automations and AI analyses will function.
5. Click Create User.
A green confirmation message will appear.

π₯ Import Employees via CSV Template
To onboard multiple people at once, use the CSV upload.
Steps:
Download the CSV template in the top right corner.

βComplete the template according to the instructions.

βUpload the completed file:
β Click Upload CSV File.
β
βReview the entries:
β Valid records are marked with a green checkmark.
β
βClick Import Users.

βοΈ Edit Employee Profiles
Existing profiles can be updated at any time.
Steps:
Open ADMIN > EMPLOYEES.

βSearch for the desired person.

βEdit the data.
β
βSave changes.
