🌟 Managing Employees in flowit

Welcome to the guide on managing employee profiles in flowit! This article provides an overview of the key features, when to use them, and why they’re helpful. These functions are available to all users with admin rights.


πŸ” Overview: Admin Dashboard – Employees

In the ADMIN > EMPLOYEES section, admins can:

  • Search for existing users by first or last name
    ​

  • View their team, assigned roles, member since date, and last login
    ​
    ​

  • ✏️ Edit user profiles
    ​
    ​

  • πŸ—‘οΈ Delete profiles when needed


πŸ‘€ Adding a New Employee Manually

Use this feature to add individual employees directly in flowit.

Steps:

  1. Click the blue ADMIN button at the bottom and go to Employees.
    ​
    ​

  2. Select + Add New User.
    ​
    ​

  3. Fill out all required fields (marked with an asterisk).
    ​
    ​

    • Roles: Assign only if the user needs admin or viewer rights. See [Roles & Permissions] for more info.
      ​
      ​

    • Status: Leave as "Active".
      ​
      ​

    • Password: Must be at least 12 characters long, with one capital letter, a number, and a special character.
      ​
      ​

  4. Click Create User. A green confirmation will appear.


πŸ“₯ Uploading Employees via Template

For onboarding multiple users at once, use the CSV upload feature.

Steps:

  1. Download the CSV template (top right).
    ​
    ​

  2. Fill in the required fields:
    ​
    ​

    • Email, Password, First Name, Last Name, Position, Employee ID, Language
      ​
      ​

  3. Upload the completed CSV:
    ​
    ​

    • Click Upload CSV File in the tool.
      ​
      ​

    • Review the list; βœ… valid entries are marked with a green check.
      ​
      ​

  4. Click Import Users to complete. A green success message will appear.


✏️ Editing Employee Profiles

Need to update existing employee info?

Steps:

  1. Go to the Admin section and select Employees.
    ​
    ​

  2. Search for the person or find them in the list.
    ​
    ​

  3. Click the ✏️ orange pencil icon to edit details like:
    ​
    ​

    • Email, Name, Birthday, Gender, Job Title, Department, Employee ID, Phone Number
      ​
      ​

  4. βœ… Save your changes.
